Interwoven E-mail Management
Inbound and Outbound E-mail Communications Captured
and Classified for Greater Efficiency, Regulatory Compliance
and Enhanced Client Service
FOSTER CITY, Calif.,
Jan 28, 2003 /PRNewswire-FirstCall via COMTEX/ -- Interwoven,
Inc. (Nasdaq: IMAN), a leading provider of collaborative content management
software for global enterprises, today announced an E-mail Management solution
to help businesses better manage e-mails and attachments that constitute the
majority of business correspondence today. By allowing inbound and outbound
e-mails to be directly captured and classified in a unified content repository
along-side documents, spreadsheets, presentations and other relevant business
content, the solution helps organizations overcome the inefficiencies and lost
productivity that result from widespread e-mail overload.
Industry analysts estimate that the average knowledge worker spends over two
hours per day working on e-mail, a figure that is expected to double by 2005.
With virtually half the work day spent in e-mail, most users end up with their
critical business content -- documents, spreadsheets, presentations, etc. --
divided between two different locations: in file folders on their local and
network drives, and in folders in a separate e-mail system. This lack of unified
storage and classification means that employees who need to find information
must search two different repositories with two different organizational
schemes, making it difficult to find the required documents or emails, which
taxes corporate productivity.
To date, most e-mail management solutions have focused on logging and archiving
every single e-mail. While this satisfies regulatory concerns, it does little to
address the larger e-mail overload problem that affects the productivity of
every employee in the enterprise. The Interwoven E-mail Management solution goes to
the heart of this pressing business issue by providing a way to capture and
catalog e-mail correspondence by subject, such as a project or client deal, and
merge it with other relevant documents and content in a collaborative content
management system. Enabled by the company's new WorkSite Communications Server,
the Interwoven solution allows all inbound and outbound e-mails to be automatically
routed to a WorkSite based on inherent metadata such as "to," "from" and "cc."
By making it effortless and intuitive for users to capture their e-mails in
these virtual file folders, Interwoven enables universal user adoption and
comprehensive e-mail management.
The Interwoven E-mail Management solution is the latest extension of the company's
WorkSite application suite, which delivers document management, collaboration,
workflow and knowledge management accessible through a portal in a single
integrated Internet solution. By capturing all internal and external e-mails in
a single place, rather than in individual user inboxes and archives, Interwoven
maintains a complete record of all correspondence on each deal or project that
helps companies respond more effectively to client inquiries. New team members
can be brought up to speed more quickly, and individual e-mails can be found
easily using metadata and full-text searching.
The Interwoven E-mail Management solution is comprised of several components:
- WorkSite Correspondence Server: this new server routes e-mails
automatically to repository folders and captures inbound and outbound
e-mails for classification and filing
- New e-mail addressable folders within WorkSite: by allowing project
and client folders to have their own e-mail addresses, the WorkSite e-
mail folder replaces the need to e-mail updates, attachments, etc. to
each team member, which may be difficult and time consuming on fast
changing project teams. With Interwoven WorkSite, all team members get
access to the latest e-mails, speeding up response to new information
without in-box overload
- FileSite: a core product of Interwoven WorkSite suite, FileSite is the
leading integration of a collaborative content management solution and
e-mail, and allows e-mails to be dragged and dropped directly into
WorkSite repository folders.
With the Interwoven E-mail Management solution:
- All project and client communications can be captured and stored where
it is easily retrieved -- and acted upon most expediently: e-mails may
be sent to a project or client folder, so every team member sees all
relevant communications -- and does not miss a critical message in
e-mail clutter -- leading to enhanced communications and customer
satisfaction. Customers can now send e-mail to a project folder and be
sure that all team members have immediate access to critical
information.
- Inbox clutter is minimized: by maintaining a single folder environment
for e-mail storage along with the associated documents, spreadsheets,
etc., leads to reduced mail box storage, faster access to critical
information and greater productivity.
"By turning their attention to e-mail management, Interwoven will help us get a
handle on one of our most pressing day-to-day challenges," said Interwoven customer
Doug Caddell, CIO, Foley & Lardner. "Interwoven listens to its customers, and by
understanding our needs and vision, they have introduced this valuable e-mail
management solution."
"Effective e-mail management is one of the biggest productivity challenges
facing companies today," said Dan Carmel, Interwoven vice president of marketing
and business development. "The Interwoven e-mail management solution is the first
approach that unifies e-mail content and business content in a single approach.
The improvement to productivity and customer satisfaction from this solution
provides rapid return on investment and strategic business impact."
The Interwoven E-mail Management solution will be available in the second quarter
of 2003.
